RowSpeak is an AI service for spreadsheet and business data work. It helps users upload or process Excel, CSV, PDF, and image-based table files, then use natural language to clean data, analyze data, create charts, build dashboards, draft reports, and export results.

We understand that privacy and business data security are important to you and your team. This Privacy Policy explains how we collect, use, store, share, and protect information when you visit our website, register an account, upload files, use AI analysis features, subscribe to our services, or contact us.

  1. Account and contact information: name, email address, phone number, company or team information, login credentials, support communications, billing contact information, and invoice information.
  2. Files and business content: Excel, CSV, PDF, image, text, prompts, data fields, analysis questions, charts, dashboards, reports, exports, and other business data that you upload, import, enter, or generate.
  3. Usage and log information: IP address, browser type, operating system, device type, language, access time, referral page, page views, feature events, error logs, performance logs, session identifiers, and cookie identifiers.
  4. Subscription and order information: order number, plan type, payment status, transaction time, amount, discount, invoice records, and related billing information. Full payment card details are usually processed directly by payment providers and are not stored by us.
  5. Support and feedback information: messages, screenshots, sample files, issue descriptions, and support records you submit to us.
  6. Enterprise and private deployment information: administrator details, member accounts, permission settings, single sign-on configuration, deployment environment information, integration records, and security review materials where relevant.

For our web-based services, we do not request mobile album, camera, contacts, SMS, phone status, or precise location permissions. If we later release a separate client that requires such permissions, we will explain the purpose in the relevant context and request authorization before use.

4. How We Use Information

We may use information for the following purposes:

  1. Providing and improving core RowSpeak features, including file parsing, table recognition, data cleaning, AI Q&A, chart generation, dashboard generation, report generation, exports, and history management.
  2. Creating and managing accounts, authentication, subscription management, order processing, invoicing, customer support, and service notifications.
  3. Monitoring service stability, performance, and feature usage to troubleshoot issues, improve user experience, and develop new features.
  4. Protecting accounts, services, and data through identity verification, access control, abnormal login detection, fraud prevention, abuse prevention, security audits, and risk investigation.
  5. Sending product updates, service announcements, billing notices, support replies, and other information related to your use of RowSpeak.
  6. Complying with laws, regulations, judicial or administrative requests, and protecting the rights and interests of RowSpeak, users, or the public.

Unless you provide separate authorization or actively choose a related feature, we do not use your uploaded files, prompts, analysis results, or business outputs to train public or general AI models. We may use de-identified, anonymized, or aggregated statistics to improve our services.

5. Files, Data, and AI Processing

RowSpeak needs to process the business files and instructions you submit in order to provide file parsing, data analysis, model inference, charts, dashboards, and reports. To provide these features, necessary data may be processed by our cloud infrastructure, storage services, computing services, AI model services, and other contracted service providers.

We limit the information sent to service providers to what is necessary and require them to process it only for providing services to us. We use measures such as contractual obligations, access controls, encrypted transmission, and audit mechanisms. For enterprise customers or customers with stronger compliance needs, we may provide private deployment, dedicated environments, or other data isolation arrangements according to the agreed plan.

AI-generated outputs may require your business review. You are responsible for deciding whether the output is suitable for financial, legal, operational, or other important decisions.

6. Retention and International Processing

We keep personal information and business data only for as long as necessary for the purposes described in this Policy or as required by law.

In general:

  1. Account information is retained while your account remains active;
  2. Uploaded files, analysis records, and generated results are retained according to product features, plan settings, your actions, or our agreement with you;
  3. Orders, invoices, contracts, and compliance records are retained as required by law;
  4. Logs are retained for the period needed for security, troubleshooting, and analytics.

Because RowSpeak uses cloud hosting, storage, AI processing, customer support, and security operations, your information may be processed or stored outside your country or region. Where international processing occurs, we take appropriate safeguards such as data processing agreements, encryption, access restrictions, and other measures required by applicable law.

When information is no longer needed, or when you lawfully request deletion and we have no legal reason to retain it, we will delete, anonymize, or otherwise reasonably handle it.

7. Sharing, Transfer, and Disclosure

We do not sell your personal information. We do not publicly disclose your personal information or business content to unrelated third parties without your consent, except in the following cases:

  1. Service providers: cloud infrastructure, file storage, content delivery, AI model, authentication, payment, email, customer support, website analytics, and security providers may process necessary information for us.
  2. Affiliates and partners: where necessary for account management, support, operations, security, or the purposes described in this Policy.
  3. Legal requirements: to comply with applicable laws, court orders, regulatory requirements, judicial processes, or administrative requests.

11. Account Deletion

Some information may continue to be retained for a reasonable period where required for legal compliance, financial auditing, dispute resolution, security, or contract performance.

RowSpeak is primarily intended for individuals, teams, and businesses with the legal capacity to use online services. If you are a minor, please use our services with the consent and guidance of a parent or guardian. If we discover that we collected personal information from a minor without required consent, we will delete it or take other necessary measures as required by law.
