Secondary School Results and Ranking Template

This Excel template is built for secondary schools that need a fast, reliable way to record and analyse student performance. The workbook contains a single, well‑organized sheet where each row represents a student (up to 200 entries). Columns are grouped by subject – Civics, History, Geography, Kiswahili, English Language, Biology, Basic Mathematics, Chemistry, Physics, and EDK – and each subject has a Marks column for manual entry and a Grade column that is filled automatically using the 75‑100 = A, 65‑74 = B, 45‑64 = C, 30‑44 = D, 0‑29 = F scale. After the subject columns, the sheet calculates an Average of all ten subjects, assigns a Division (Division I‑IV or Division 0) based on that average, and finally ranks students in a Position column, with the highest average receiving rank 1. All formulas are pre‑written, so teachers only need to input raw marks.
The template eliminates the tedious, error‑prone process of hand‑calculating grades, averages, and class rankings. By automating these steps, teachers can focus on interpreting results, identifying learning gaps, and planning interventions rather than spending hours on spreadsheets. The clear header layout and consistent spacing make the sheet easy to read and print for parent‑teacher meetings, report cards, or school audits. It also ensures that every student is evaluated against the same criteria, promoting fairness and transparency.
Designed for secondary school teachers, exam officers, and school administrators, this workbook fits any scenario where a class or cohort’s end‑of‑term results need to be compiled quickly. Whether you are preparing a single class report, consolidating results for multiple streams, or generating data for district‑level analysis, the template scales to 200 students without performance loss. It tracks individual subject performance, overall academic standing, and relative class position, giving a complete picture of each learner’s achievements.
How to use
- Open the workbook and enter each student’s name (or ID) in column A.
- Fill in the raw marks for the ten subjects in the corresponding Marks columns.
- The Grade, Average, Division, and Position columns update automatically; you can sort the sheet by the Position column to see the ranking order.
- Optionally, apply filters or conditional formatting to highlight top performers or those needing support.
Expected benefits: dramatically reduces calculation time, minimizes errors, and provides instant, professional‑looking results that support informed teaching decisions.
