Student Records & Grades Management Template

This Excel template is built for schools, training centers, or any organization that needs to manage student dossiers and academic results. It contains three main sheets: Student Info, where you enter civil data such as matricule, name, birth date and place for up to 30 students; Score Sheet, a matrix that captures each student’s continuous‑assessment (CC) and exam marks across five subjects, automatically calculating the subject average, mention, and overall rank; and Transcript, which consolidates validated grades, applies custom criteria (e.g., pass/fail thresholds) via drop‑down lists, and produces a printable report card for each learner.

The template solves the tedious task of juggling separate documents for personal data and grades. By centralising everything, you eliminate duplicate entry, reduce errors, and instantly see who is excelling or needs support. It’s especially useful during semester closures, accreditation audits, or when generating official transcripts for parents and institutions. Teachers, administrators, and program coordinators can all benefit from a single source of truth that updates in real time.

How to use

  1. Open the Student Info sheet and fill in each column (Matricule, Nom, Prénom, Date de naissance, Lieu de naissance) for every student.
  2. Switch to the Score Sheet and enter CC and exam scores for each of the five subjects; the template will auto‑compute the subject average, assign a mention (e.g., Excellent, Good) and update the overall ranking.
  3. In the Transcript sheet, select the validation criteria from the drop‑down menus to flag any anomalies; the sheet will generate a clean, printable report for each student.
  4. Save or export the workbook as needed for distribution or archival.

Expected benefits: streamlined data entry, faster grade consolidation, clearer insight into student performance, and reduced administrative workload.
